Introduction:
This guide will walk you through the simple process of joining and managing events within your online learning community as a student.
Joining an Event:
- Navigate to the Learn Screen: This is your central hub for all things learning-related.
- Locate the Event Button: The exact label might vary depending on your program's preferences. Look for options like "Join a Workshop," "Join an Event," or "Join a Group Session."
- Filter and Find Your Event: Refine your search using the available filters. You can filter by classes set by your program administrator.
- Choose from Your Options: Once you've applied filters, explore the displayed events. Each event will provide you with the necessary details to make your choice (days, time, location).
- Join the Event: Simply click the "Join Event" button to secure your spot.
- Stay Organized: Your chosen event will be automatically added as a placeholder card on your Learn Screen for easy access. This way, you can keep track of upcoming events at a glance.
Bonus Tip: If you've joined a recurring event series, all the event dates within that series will be displayed on your Learn Screen, keeping you on top of your participation. See image below:
Event Attendance:
You will receive an email for all Events you have successfully joined. The Email will have the format below:
Whether you're joining in person or virtually, here's a quick reminder on how to participate:
In-Person Events: These events are held at a designated location. Your attendance will be checked by the tutor in charge, or you can confirm your attendance via Kiosk (if enabled).
Virtual Events: If the event is online, the link will be on the placeholder card of the event.
Tip: Double-check your event details beforehand to confirm the participation mode (in-person or virtual). This will help you plan accordingly.
Event Waitlists:
Joining a Waitlist
Sometimes, events may reach capacity before you have a chance to register. Our waitlist system allows you to stay in the loop for potential openings.
Here's how it works:
- If an event is full, you'll see a "Join Waitlist" option instead of "Join Event."
- By clicking "Join Waitlist," you'll be added to a queue for open spots.
- Once you click "Join Waitlist," you'll automatically be taken back to the Learn Screen. From here, there is no action to take on your end as the student -- admins will be in charge of monitoring the Section's remaining capacity.
NOTE: Currently, as a student, you will not be notified via email or push notifications when you join a waitlist. A session placeholder card will not be added to the Learn Screen for the Event you join.
If a spot opens due to someone canceling their registration, you'll be notified via email.
Leaving a waitlist
If you want to take yourself out of the waitlist, here is how:
- Click your Events button (the label will depend on your community)
- Find Your Waitlisted Event: It will have the tag “On Waitlist” (see image below)
- Click on the Event you want to leave. This will trigger an option to "Leave Waitlist" to appear.
Just like joining the waitlist, there won't be any updates on your Learn Screen regarding the section details card. This simply means you're no longer in the queue for that specific section.
Post-Event
After attending an event, you'll see a placeholder card appear in the "For Feedback" section of your Learn page. This is your chance to share your thoughts on your Events experience.
Here's what you can do:
- Look for the placeholder card of the event you just attended under the "For Feedback" section on your Learn page.
- Click on the card to access a quick survey or feedback form.
- Share your honest feedback about the event content, delivery, and overall experience.
Leaving an Event
If you decide you can't attend an event you previously registered for, here's how to easily remove yourself:
- Locate the Event Card: Navigate to your Learn page and find the placeholder card for the event you wish to leave.
- Access the Options Menu: Look for the three dots (...) in the upper right corner of the event card.
- Leave Event: Click on "Leave Event" within the menu. This will officially remove you from the event attendee list.
By following these steps, you'll ensure you're not marked as a "No-Show" and free up your spot for another interested student.
