Some settings will be controlled by Penji and some will be controlled through the Admin Panel. If you would like to change/update a Penji controlled setting, please email support@penjiapp.com to update the setting. Please include what school and community you would like this to apply to.
Drop-In mode enabled (Admin Panel)
The options here are "Enabled" and "Disabled". You can use this admin setting to control whether or not your center would like to offer drop-in mode to students. Setting this to disabled will:
- Hide the admin settings "Drop-in button label" and "Allow tutors editing drop-in hours"
- Hide the Drop-in detail on the left-hand side menu. Note, it will not delete any data, just hide it while Drop-in is not in use
- Remove the Drop-in button on the student "Learn" screen
- Remove the button used to edit Drop-in hours on the "Teach" screen
Drop-in button label (Admin Panel)
Change the text for your Drop-In button shown to students on the "Learn" screen.
Allow providers editing drop-in hours (Admin Panel)
Set whether or not tutors can edit their own drop-in hours. Your choices are allowed or not allowed. Set to not allowed if you would like to 100% control your providers' schedules for them.
Provider minimum slot length (Penji Controlled)
The default for this will be the shortest appointment length, however, you can control what the shortest amount of time a provider can be available for during a given Drop-In shift.
Turn on specific Provider (Penji Controlled)
For queue locations, regardless of Physical vs. Online, students have the ability to "request" a specific provider when checking in. If the student selects a specific provider, then this student only appears in the queue for that specific provider. If you would like to turn this feature on, please email support@penjiapp.com to adjust your launch plan.
The Drop-In flow will be the exact same, except students will need to indicate if it is for Any or a Specific provider. Below is the additional screen students will have to fill out.
Remove "for <course>" in scheduled hours (Penji Controlled)
Below are the two options, this feature on and off. Students will see this subtle change when they go to check-in for Drop-In.
Allow Log Check-in outside of scheduled hours (Penji Controlled)
If you would like students to be able to check in to a kiosk (Log Mode), even when there are no tutor hours, you will want this setting on. This would be useful in instances where you would like to check different resources (independent study, time on the computer, etc.).
What students use to Check-in (Penji Controlled)
This is known as the Guest check-in field. Students are able to check in to a kiosk (Log Mode) using either their Email or Student ID. If you would like to update this to student ID, please let us know if student ID's start with any specific characters (ID Prefix). We can preload the ID Prefix into the kiosk. The preloaded ID Prefix is editable.
Turn on the check-in warning (Penji Controlled)
For Drop-In Kiosks, if the Student Data Integration is enabled or if you have manually uploaded a student.csv, Penji will try to connect the Kiosk check-in information to a student Penji account. This happens automatically. If you would like, we can turn on a check-in "warning" which will let students know that we could not confirm what they used to check-in (Student ID or Email) to a Penji account. The warning should decrease the number of students who check in with a too short, too long or incorrect ID number/email.
Student & Provider Email Receipts - Drop-In (Admin Panel)
You have the ability to send students and providers a "receipt" of their Penji check-in interaction. For Log mode, the student will be emailed once they check out, there are no provider receipts sent in Log Mode. For Queue mode, once the provider completes their feedback and ends the interaction, the email receipt will be sent out to whoever the setting is enabled for.
Default settings are shown above.
The receipt will contain information about the:
- Date and Time of interaction
- Course (Subject)
- Location
- Attendance
- Duration
- What was entered in for the “Agenda” from the student (Queue Mode)
- If turned on, the Provider feedback
When providers end the interaction, if "Share provider feedback in Drop-In email receipts" is enabled, providers will be notified when completing their session feedback. It is encouraged to communicate with providers to let them know that their feedback will be shared with students if you turn this feature on.
