Viewing Event Data
There are three tabs within events mode that contain data:
- Events: This contains a list of upcoming, current, and past events. If an event is a series, they will be grouped into one event.
- Waitlists: This is a view of all students who are on a waitlist for all events. Each student and event combination is a unique row. More information can be found in the article. Managing Event Waitlists.
- Logs: This shows all past events individually. Here you can view event feedback and student attendance.
Exporting Events CSV
You can access this through Events Tab > Manage > Export Events CSV.
The events.csv has several columns and is a complete list of all events listed within the events tab on the admin panel. It contains details for upcoming, current and past events. With the events.csv, you have the ability to organize, analyze and present the data in a useful manner for your reporting.
Below are the columns explained:
Standard Columns (in order)
- Name: The name of the event
- Next start date: If the event is a recurring series, this will be the next (start) date of the event at the time of exporting the file. If the event is not recurring, this will be empty.
- Next start time: If the event is a recurring series, this will be the next (start) time of the event at the time of exporting the file. If the event is not recurring, this will be empty.
- Start Date: This is the official first (start) date of the event.
- Start Time: This is the official first (start) time of the event.
- End Date: This is the official (end) date of the event or event series.
- End Time: This is the official (end) time of the event or event series.
- Tutor Email: This will contain the emails of the assigned tutors of the event, which will be separated by a vertical bar (|).
- Tutor SSO ID
- Tutor Name
- Courses
- Location
- Location URL: If the event is online, the event link will be found here.
- Student Capacity: The maximum number of students allowed in the event
- Total Students Registered: The number of students who registered for the event
- Remaining Capacity: Remaining slots for the event
- Waitlist: If you’ve enabled waitlisting for the event.
- Total Students Waitlisted: For events that have reached maximum capacity, this will show you how many students are waiting to be registered
Exporting Event Attendees CSV
You can access this through Events Tab > Manage > Export Event Attendees CSV.
The attendees.csv contains multiple columns and represents a comprehensive list of all attendee details associated with your events. This shows a list of all students who are registered for upcoming events. Below are the columns explained:
- Event Name: The name of the event
- Event Courses: The courses the event is focused on
- Student Name
- Student Email
- Student SSO
- Student ID
- Created At Date: This is the date the student joined the event.
- Created At Time: This is the time the student joined the event.
Exporting the Waitlist CSV
You can access this by going to Waitlist Tab > Manage > Exporting Waitlists
The event_waitlist.csv is a list of all students who are currently on a waitlist for an event.
Below are the columns explained:
- Status: This can be "Admitted", "On waitlist", or "Removed".
- Event Name: The name of the event
- Event Courses: The courses the event is focused on
- Joined Waitlist Date
- Joined Waitlist Time
- Student Name
- Student Email
- Student SSO
Exporting Event Attendance Logs
You can access this by going to Logs Tab > Manage > Exporting Event Attendee Logs
The event_attendee_logs.csv shows student attendance for all past events. There are multiple columns representing a comprehensive list of all attendee details associated with your events. This serves as a historical export.
Below are the columns explained:
- Unique ID: A unique identifier for each attendance record, ensuring that each entry can be distinctly referenced.
- Status: The attendance status of the student, indicating whether they were present, absent, or late.
- Event Name: The name of the event attended.
- Start At Date: The start date of the event.
- Start At Time: The start time of the event.
- End At Date: The end date of the event.
- End At Time: The end time of the event.
- Duration Minutes: The total duration of the event in minutes.
- Student Email: The email address of the student.
- Student SSO ID: The Single Sign-On identifier for the student.
- Student ID
- Student Name
- Student Attendance: Indicates the attendance status (e.g., present).
- Student Attendance Source: The method by which attendance was recorded (e.g., Admin or Kiosk).
- Tutor Email: The email address of the tutor assigned to the event.
- Tutor SSO ID: The Single Sign-On identifier for the tutor.
- Tutor Name
- Recurrence: Information on whether the event is part of a recurring series.
- Courses: The courses associated with the event.
- Location: The physical or virtual location of the event.
- Location URL: If the event was held online, this field contains the link to the virtual meeting.
- Feedback Submitted At Date: The date when feedback for the event was submitted.
- Feedback Submitted At Time: The time when feedback for the event was submitted.
- Feedback Columns
- Metadata Columns: Additional columns that capture more detailed information about each student and their interaction with the event
