After creating an event, you might want to change the location, add a skip day, adjust the date/time of an event, change providers, etc. Events can be edited at any time, however, changing the event details will only adjust upcoming events. Changing your event details will not affect past events.
To edit an event:
- Navigate to the admin panel.
- Select the "Events" section from the menu.
- Locate the event you wish to view or edit.
- Click on the eye icon associated with the event to access its details.
- From the event details page, locate and click on the "Edit" button located at the top left corner of the screen.
- This action will allow you to make changes to various aspects of the event, including its name, location, schedule, attendee details, and any other relevant information.
- Once you have made the desired changes, be sure to save your modifications to update the event.
The Effects of Changing Event Details
Change Location
- If you change the location for a recurring event, all future occurrences will update to the new location.
- Providers & Students will receive an email with an updated calendar invite when an admin changes the location of an event.
Provider
- This allows you to change the providers of scheduled events. Students will not be notified that the provider has been updated. However, the new provider will receive a calendar invite, email and see the session placeholder card on their Penji screen. The old provider will receive a cancellation email.
Courses/Topics
- This allows you to edit the courses/topics of your event. You can either focus on a single course on your event, or “all courses/topics starting with”. Providers and students will not get notified about a change to the courses/topics.
Reschedule (Date & Time)
- This allows you to change the date and time of scheduled events
- Providers & Students will get notified when the date, time, or both are changed by an admin through an updated calendar event.
Student Capacity, Waitlisting, Attendance List
- Student Capacity: You can set the maximum number of students that can attend your event
- Waitlisting: For events with limited slots, you can choose to enable a waitlist
- Attendance List: You can preload any students onto the attendance list for your providers
- For more information on preloading students onto the attendance list, you can check the Help Center Article: Managing Event Waitlists
Event Deletion
- Providers and Students will be notified when an admin cancels an event for future appointments and with a past date.
- To do this, you can click “More Actions” and select “Delete”
Managing Skip Dates for Recurring Sessions
When you edit an existing event to add a skip day, the placeholder card on a student’s Learn Page will disappear for that specific skip day.
This means that on the day designated as a skip day for the event, the placeholder card will not be displayed to the student. However, it will reappear on subsequent days as per the event schedule. This feature helps students easily identify when there are deviations from the regular event schedule due to skip days.
Students will receive an email stating the event on a specific date is cancelled when a skip day has been added.
For more information about editing Skip Days, you can refer to the Help Center Article: Setting up an Event.
