This article is specifically for Admins.
Penji supports group appointments, allowing multiple students to attend the same appointment with a single provider.
To use group appointments, admins first need to configure a group appointment type. Once enabled, students can join group appointments, or admins can create a group appointment by scheduling each student into the same appointment using identical session details.
Setting Up a Group Appointment Type
Before students can schedule group appointments, you'll need to create a group appointment type.
- In the Admin Panel, navigate to Settings > Sessions > Appointment Types.
- Create a new appointment type or edit an existing one.
- Enter the following information:
- Name (internal name)
- Button Label (what students will see)
- Under Appointment Type, select Group.
- Click Save.
- Scroll down to Max Group Size and enter the maximum number of students allowed in the appointment.
- Save your changes.
Your group appointment type is now ready to be used when scheduling sessions.
Admins: How to Add Students to a Group Appointment
To create a group session, follow these steps for each student, making sure all the session details are identical so Penji recognizes them as part of the same group:
- Go to the Sessions Tab
Navigate to the Sessions tab in the Admin Panel. - Click “Create Session”
Choose the Standard booking flow option: - Select the appointment type that allows group appointments.
Choose the same group appointment type you configured earlier. - Add the First Student
- Select the student
- Set the date and time
- Choose the location
- Assign the tutor
- Submit the Session
- Repeat for Each Student
Repeat steps 1–5 for each additional student you want to include in the group.
⚠️ Make sure all session details match exactly (same time, tutor, location, and appointment type).
Penji will automatically group students together based on these matching details.
Important Notes
- If a group appointment is created by an admin, each student must be entered individually, even though they are attending the same appointment.
- Penji automatically groups sessions when all appointment details match.
- Providers and students will receive their own calendar invitations.
- Group appointments are different from Events or Workshops, which have their own scheduling workflows.
