Should I Use a Single Community or Multiple Communities?
- Separate Communities: If different units support different course types (e.g., Chemistry vs. Writing), modes (Drop-In vs. Appointments), or topics.

Single Community: If services overlap, a combined approach like "STEM" or "Tutoring" may work.
Penji must create new communities for you—contact support for requests.
Can I Deactivate A Community
If you need to close or archive a Community in Penji, you can follow these steps to formally deactivate it. This process hides the Community from active use while preserving historical data for reference.
Log in to the Admin Panel
Go to admin.penjiapp.com and log in with your admin credentials.-
Hide the Community
Navigate to Settings > General.
Change Community Visibility to Hidden.

Update the Community Name (this is so admins can easily tell from the admin panel which communities are inactive)
In the Community Full Name and Display Name fields, add
[INACTIVE]to the beginning of each name.
Example:[INACTIVE] Tutoring Center

[Optional] Remove Admin Users
If you do not need current admins to retain access, you can remove them from the Admin Users list.
If you want admins to still be able to view historical data, keep their accounts active.

Deactivate IT Integrations
Go to the IT Integrations tab.
Deactivate all connected integrations.
Notes
This process does not delete historical session or usage data.
You can reactivate the Community later by reversing these steps.

Can I Add Myself as a Provider?
Answer: Yes, this is useful for testing. Use your admin account to act as both a student and provider by logging into web.penjiapp.com.
How can I Add or Remove a Provider?
- Access the Admin Panel
- Log in to your Penji admin account.
- Navigate to the "Providers" section (or "Tutors" "Consultants" "Coaches" depending on your setup).
- Download the Most Recent CSV File
- Locate the "Recent Imports" section in the admin panel.
- Find the most recent import and download the file. This file contains the latest version of your tutor list.
- Locate the "Recent Imports" section in the admin panel.
- Edit the CSV File
- Open the downloaded file in a spreadsheet editor (e.g., Microsoft Excel, Google Sheets).
- To add a tutor, include their information, such as:
- Name
- Email (e.g., elle.c@penji.
edu) - Any other required fields (e.g., availability, subjects, etc.).
- To remove a tutor, simply delete their row from the file.
- Ensure that all data is entered in the correct format as specified in the template.
- Save the Updated CSV File
- After making your changes, save the file in CSV format (not Excel or another format).
- Re-upload the CSV File
- Return to the admin panel.
- Under the "Manage" tab, click "Choose File."
- Select your updated CSV file.
- Click "Import CSV" to upload the file.
- Verify the Tutor's Access
- Once the file is uploaded, the system will process the updates.
- Confirm that the tutors have proper access to the tutor screen or have been successfully removed.
How to Block an Individual Student
To block a student:
- Log into the Penji Admin Panel.
- Navigate to Students.
- Select Manage.
- Click Import Blocked Students.
- Upload a list containing the student(s) you would like to block.
Once imported, the student will be blocked from accessing services within the community.
