Can I invite people who are not part of my school to an Event?
Yes. Non-students or external guests (e.g., parents, siblings, partners) cannot sign up for Events directly in Penji, since they do not have platform access. However, Admins can add them manually through the Attendance List > Registered file upload. Once added, external guests will receive the same email notifications and calendar invites as other registrants.
Events waitlist (how to admit someone)
When an event reaches its registration limit, additional students are placed on the waitlist. As an admin, you can move someone from the waitlist into the event if a spot becomes available.
How to admit someone from the waitlist
Log in to your Admin Panel.
Go to Events and select the event.
Open the Waitlist tab.
Find the student you’d like to admit.
Click Admit (or Move to Attendees).
The student will be added to the official attendee list and receive a confirmation email.
What does “Kiosk Enabled” mean when creating an Event?
Selecting Kiosk Enabled generates a unique check-in page (Kiosk URL) for that Event. This page works just like the Kiosk for Drop-Ins, allowing attendees to check in when they arrive.
You can use the Kiosk URL in different ways:
Admin Managed: Open the Kiosk URL on a laptop or tablet at the entrance of the event.
QR Code Option: Generate a QR code from the Kiosk URL and display it at the event entrance or on a screen. Attendees can scan it to check in.
Advisor Managed: Advisors added to the Event have direct access to the Kiosk URL and QR code from their Penji account 15 minutes before the Event starts.
How to access as an Advisor:
Go to I am an Advisor > Event card > Open Kiosk
Or go to Record Attendance > Share Kiosk Link
Can I generate a QR code for each Event?
Yes, each Event automatically generates a unique Kiosk URL. You can create a QR code from that URL, which will allow attendees to check in specifically for that Event.
At this time, unique registration URLs for each Event (separate from Kiosk) are not available. This feature is under consideration for future updates. For now, we recommend using the Event’s Kiosk URL for QR codes.
